Terms of use

These terms set out acceptable use, the responsibilities of each organisation and user, and the conditions under which access may be suspended.

These terms describe how the application is intended to be used. They are not legal advice and require final legal review before the application is relied upon in production.

Accounts

  • Access is granted by an Administrator. Accounts must not be shared, and each user is responsible for activity carried out under their sign-in.
  • Users must keep their password confidential and report any suspected compromise promptly.
  • An Administrator may block, revoke or reinstate access, and may require a password reset.

Acceptable use

  • The application must be used only for legitimate procurement activity of the owning organisation.
  • Users must not attempt to bypass permissions, access records they are not assigned to, or interfere with the security of the service.
  • Shared access links must be sent only to the intended recipient and must be revoked when no longer required.
  • Uploaded content must be lawful and must not contain malicious files.

Accuracy of records

The organisation remains responsible for the accuracy of budgets, specifications, evaluations, awards and purchase orders. Automated extraction from documents is an aid to data entry only and must be reviewed by a person before a record is issued.

Clinical and professional limitations

  • The Mermaid assistant is a research and decision-support tool for qualified professionals. It is not a veterinarian, prescriber, tender approver, vendor selector or purchasing authority.
  • It does not provide autonomous diagnosis, treatment or prescription, and it never issues a prescription.
  • Any provisional clinical impression, differential consideration or dose is provisional and must be confirmed by a qualified veterinarian against the approved product label and local regulation.
  • Registration or authorisation of a product in one market does not mean it is currently marketed, available or lawful in another.

Procurement decisions

The application records and controls a procurement process; it does not make procurement decisions. Approvals, awards and orders take effect only when authorised people act within the application, and remain subject to the organisation's own procurement rules and applicable law.

Availability

The service is provided on a reasonable-efforts basis. Optional facilities that depend on external providers, including the assistant, may be unavailable at times; the core procurement functions are designed to continue working when they are.

Suspension

Access may be suspended where these terms are breached, where a security risk is identified, or where an Administrator requires it. Records created before suspension are retained.
